Pre Wedding Day
Meetings
Timeline / Initial meeting to get to know each other
Diagram/Decoration Details & Set Up
Two Bi-Weekly Countdown Meetings
Unlimited calls, texts, and emails throughout your planning process. (based on availability)
Access to Digital Planner to host all wedding information
Provide honest feedbacks and guidance as needed
Obtain any necessary documents from couple and/or vendors (COI, arrival time, contract, etc.)
Distribute Final Payment and Gratuity to all vendors
Meet with the on-site venue coordinator and catering manager
Prepare project plan (month to month checklist of tasks leading to the wedding day)
Creation of master timeline and review diagram
Develop ideas for favors, seating chart, & grand exit
Help facilitate the production of all items needed for seated reception (Menu, escort card, custom napkins, etc.)
Provide final headcount to Catering Manager
Arrange for any special request (saving top tier, dietary restriction, drink preference, etc.)
Manage vendors questions, concerns, and details the week of the wedding
Ensure all vendors obtain a copy of wedding timeline, diagram, and information at least 2 weeks before the wedding
Wedding Day
Day of Coordinator
Bustle Wedding Gown, if applicable
Verify wedding license is signed and wedding rings are present
Supervised vendors set up and confirm arrival (subject to arrival time)
Assist wedding couple along with the bridal party with wedding day needs the day of (with limitations- no steaming dresses, etc.)
Set up wedding décor not handled by a specific vendor
(with limitations- no climbing up a ladder, no ironing tablecloths, no hanging lights or ceiling installs, etc..)Direct ushers with program and seating instructions
Line up and cue wedding party for the ceremony, grand entrance, and all special events
Distribute bouquets and boutonnières to the wedding party
Act as a liaison between vendors, family members, and wedding party
Collect any gifts given at ceremony & reception
Arrange for refreshments for couple upon arrival to reception
Assist band or DJ in coordinating special events
Cue photographer & videographer for all important events to ensure they capture details, and special moments
Direct guest to ceremony, cocktail, and reception
Cue bride and groom for all important events
Multiple check in's throughout the night with bride and groom to ensure they are satisfied
Demonstrate how to properly cut a cake to wedding couple
Orchestrate the Grand Entrance, First Dance, Welcome Toast, Prayer/Blessing, etc.
Ensure things are going smoothly with banquet staff
Arrange meals for the wedding couple
Distribute items such as favors, light-up props, sparklers, etc. during dancing and grand exit
Handle any last minute implications with vendors
Planner/Coordinator to use best judgement and act accordingly should any problems or emergency arise
Ensure get-away car and chauffeur is ready for Grand Exit
